The Importance of Fuel Management Systems in Fleet Management

In some ways, the role and responsibilities of fleet managers are sometimes underestimated by those who don’t know what the job entails.

Among the different areas of fleet management

, fuel management is perhaps one of the most challenging and is the hardest to manage. Fuel prices are always on the rise and the increasing cost of fuel consumption is the fleet managers’ number one difficulty. This is one of the reasons why fleet managers are always looking for a way to save on fuel costs. Which is why fuel management systems make it easier for fuel managers to track their fuel consumption and think of cost-efficient fuel solutions.

Fuel Management Systems

All in all, Fuel Management Systems are utilised by a fleet to maintain, control and monitor fuel expenditure.

This system has been designed to efficiently measure and manage fuel use within the fleet. Also relied upon to employ several fuel management methods and solutions to track and monitor fuel in terms of inventories, purchases made and dispensed fuel, the information gathered is then stored on computer systems with generated reports showing necessary data for fleet managers to make a decision. Usually, the detailed fuelling data is presented through the use of web portals which help in tax accounting of fuel purchases, control of fuel consumption and the cost analysis of different types of fuel.

Types of Fuel Management Systems

There are three major types of Fuel Management Systems

  • Card-based Fuel Management Systems

  • On-site Fuel Management Systems

  • Mobile Fuel Management Systems

Card-based fuel management systems track fuel use through a fuelling credit card with a corresponding driving PIN. Reports are then generated for each fuel transaction consumed by the fleet driver with easy downloadable reports, using a web portal.

On-site fuel management systems either make use of bulk fuel tanks or refuelling services on-site. This way, fleet managers can track fuel pumps into their individual fleet and manage accessible fuel tanks available.

*There are cases where some companies employ the use of total fuel management systems, wherein they use both the card-based and on-site fuel management systems.

Mobile fuel management systems usually apply to a fleet of fuel tankers and trucks supplying fuel themselves to other fleets. This type of fuel management system uses radio-frequency identification or RFID technology to easily identify equipment and provide automated fuel management. This also saves man hours, as refuelling operations are usually held at night when vehicles are not in use. Also, remote data collection such as mileage, engine idling time and total driving operations is easier to gather with the help of sophisticated data gathering systems.

Other methods of fuel management

Aside from employing these different systems, fleet managers are also encouraged to consider using alternative fuels for fuel management. Practical methods can also be employed like buying fuel on the local market, avoiding fuel slippage, reducing idle time, driving better and putting the fleet on a “diet”.
